Notice to the Applicant
This notice has been created by us, Dr. Ebeling & Assoc. GmbH, to inform you, the applicant, about the collection and usage processes of your personal data as provided to us through your job application.
Purpose and legal basis of the processing
We operate a recruitment management system through which the personal data of our applicants is processed. If you decide to apply for a job your personal data, as submitted to us through your application, are collected and processed by us exclusively for the purposes of conducting the application procedure and filling job vacancies. We may also need to process data from job applicants to respond to, and defend against, legal claims. Art. 88 DSGVO and Art. 6 para 1 lit. b DSGVO serves as a legal basis.
In particular, we use the personal data we collect about you during the recruitment process to:
- Comply with legal or regulatory requirements
- Contact you during the recruitment process
- Assess your qualifications and suitability for the respective job
- Carry out reference checks, where applicable
- Keep records related to our recruitment management system
- Decide whether to enter into a contract with you
Collection of your personal data
During the recruitment process we collect personal data from the following sources:
- Directly from you via your CV, covering letter and during interviews
- Your named referees
whereby the following categories of personal data about you are processed:
- Contact data containing your name, address, telephone and email
- Employment data containing your qualifications, employments, job references with addresses, endeavors and evaluations
Recipients of personal data
Personal data contained in your application may be shared internally for the purposes of the recruitment exercise and are given to the HR department, the managing director and the selection committee (and interviewers) of the department in question.
Data Retention
By submitting your personal data as part of your application, you give us permission to store and utilize the data you have made available for the purposes described above. This permission can be revoked at any time. If your application is unsuccessful, your data will be deleted, at the latest point, 6 months after the probationary period of the person assigned to the position has passed. At the end of that period, or if you have withdrawn your permission earlier, your data will be irrevocably deleted according to our erasure policy, unless longer storage is necessary in order to defend legal claims.
If your application is successful, your job application documents will be processed further for the purposes of the employment.
